Reconcile a Seller Transfer Without Calling Every Deduction an Expense

Updated

A smaller bank transfer does not always mean lower order profit. A platform can hold a reserve or deduct withholding as well as charge selling expenses. The Settlement Reconciliation Calculator separates those classifications and compares the expected transfer with the amount actually received.

Enter the statement receipts and cost scope

Use gross receipts PKR 10,000, refunds zero, product cost PKR 6,000 and operating costs PKR 1,000. Add three deduction rows: selling expense PKR 500, withholding PKR 200 and reserve PKR 300.

Total cash deductions are PKR 1,000, so expected payout is PKR 9,000. If actual payout is PKR 9,000, reconciliation variance is zero. That confirms the entered cash bridge balances; it does not verify whether every input matches the statement.

Calculate the included contribution separately

The selling expense reduces the included contribution. Product cost, operating cost and that PKR 500 expense leave PKR 2,500 from receipts. Withholding and reserve reduce current payout but are not classified as selling expenses in this model.

Change actual payout to PKR 8,900 and variance becomes negative PKR 100. Investigate the missing transfer amount rather than quietly increasing an expense to make the worksheet balance.

A larger withholding changes cash, not this expense subtotal

For the same example, change withholding to PKR 2,000 while leaving reserve PKR 300 and selling expense PKR 500. Expected payout becomes PKR 7,200. The included contribution remains PKR 2,500 because the expense classification has not changed.

This distinction is an analytical convention for the calculator. It does not determine legal tax recoverability or accounting treatment. Confirm those decisions separately using the statement and appropriate advice.

Reconcile one settlement period at a time

Match receipts, refunds, deductions and the actual transfer to the same statement or batch. Timing differences can create a variance if you compare orders from one period with a transfer covering another. Record the statement reference with your exported result.

A held reserve is not automatically a loss, but it can still create a funding need. Inventory Cash Gap Calculator estimates a separate operating cash requirement. For an individual offer, Daraz Order Profit Calculator or COD Order Profit Calculator builds a payout estimate from entered assumptions. Return here when the actual statement is available, and classify adjustments explicitly instead of blending every deduction into one fee percentage.
